Step-by-step instructions
Step 1
Before day one: accounts
Create the Microsoft 365 or Google Workspace account and assign the correct licence.
- Add to the right groups, Teams and shared mailboxes
- Create accounts in line-of-business apps (accounting, CRM)
- Grant only the access the role needs
Step 2
Before day one: device
Prepare a laptop with updates installed, endpoint protection active, disk encryption on (BitLocker) and enrolled in device management if you use it.
Step 3
Day one: security setup
Have the new starter set their own passphrase and register MFA with you present. Introduce the company password manager if you use one.
Step 4
Day one: security awareness
Explain how to report suspicious emails, who to contact for IT help and your rules for handling customer data.
Step 5
Record what was issued
Add their devices and accounts to your IT asset register so offboarding is easy later.
Step 6
Review after the first month
Check they have what they need and remove any temporary access granted during setup.
