You cannot protect what you do not know you have. An IT asset register lists every device, account and important system, who uses it and when it needs attention. It makes budgeting, insurance, onboarding and incident response much easier.

Step-by-step instructions
Step 1
Choose where to keep it
A shared spreadsheet is fine for small businesses. Larger teams may use device management tools such as Intune to keep it updated automatically.
Step 2
List hardware
Record each device with useful details.
- Type, make, model and serial number
- Assigned user and location
- Purchase date and warranty expiry
- Operating system and encryption status
Step 3
List software and subscriptions
Include Microsoft 365, accounting, CRM and other subscriptions with licence counts, renewal dates and who owns them.
Step 4
List key accounts and services
Record domain names, website hosting, DNS, internet services and admin accounts (but never the passwords themselves).
Step 5
Mark what is critical
Flag the systems the business cannot run without. These are your priorities for backups and security.
Step 6
Keep it current
Update it during onboarding, offboarding and purchases, and review it every quarter.
