Why this matters
Drives fail, laptops get lost and ransomware encrypts files. Without a backup, your documents, photos and business records can disappear permanently. A good backup takes a short time to set up and then runs on its own.
What you'll need
- Your Windows computer
- A OneDrive account and/or an external drive
Step-by-step instructions
Step 1
Follow the 3-2-1 rule
Keep three copies of important data, on two different types of storage, with one copy kept offsite or in the cloud.
Step 2
Back up folders to OneDrive
Open the Windows Backup app (Windows 11) or OneDrive settings and turn on backup for Desktop, Documents and Pictures. These folders then sync to the cloud automatically.
Step 3
Add an external drive backup
Connect an external drive. In Control Panel, search for "File History", turn it on and select your drive. File History keeps previous versions of your files.
Step 4
Disconnect the external drive afterwards
Unplug the drive when the backup finishes. A permanently connected drive can be encrypted by ransomware along with your computer.
Step 5
Test a restore
Open File History or OneDrive and restore a test file to confirm the backup actually works.
Step 6
Set a reminder
Schedule a monthly reminder to connect the external drive and check backups are current.
